JOB SUMMARY: The Accounting Manager plays a critical role in overseeing the financial functions of the organization, helping to ensure the delivery of accurate and timely financial reporting on a monthly basis. Reporting to our newly hired CFO, the Accounting Manager is responsible for maintaining accurate financial records, including transactions, invoices, accounts payable/receivable, and payroll. Supervising the bookkeeper, the Accounting Manager ensures proper execution of day-to-day financial transactions and accrual accounting processes.

RESPONSIBILITIES:
Financial Management & Reporting

  • Manage and oversee financial accounts, ensuring accuracy, compliance, and efficiency in financial operations. 
  • Prepare and analyze monthly, quarterly, and annual financial statements providing insights and recommendations to support business decisions.
  • Assist the CFO in developing and maintaining financial forecasting models to support strategic planning.
  • Work closely with operations and HR to track profitability by client, team, and department.
  • Ensure compliance with GAAP and other financial regulations, coordinating audits and financial reviews as needed.
Financial Systems & Process Optimization 
  • Maintain and enhance financial systems, including QuickBooks and other accounting tools, to streamline reporting and reconciliation processes.
  • Identify opportunities for efficiency improvements in financial workflows and implement best practices.
  • Participate in evaluation, selection and implementation of new accounting software.
  • Ensure accurate expense tracking and reimbursement processes, optimizing policies for clarity and efficiency.

Accounts Payable & Receivable

  • Process vendor invoices and customer payments, ensuring accurate and timely record-keeping.
  • Generate and process remote deposits to streamline financial transactions.
  • Track receipts for all bill-back invoices and report any discrepancies.
  • Set up vendors, clients, and employees in QuickBooks Online and other relevant platforms.
  • Collect W-9s from vendors and assist with issuing 1099s as needed.
  • Maintain oversight of general ledger entries, reconciliations, and financial reporting.

Payroll

  • Manage and process payroll for full-time and part-time employees, ensuring accuracy and timeliness.
  • Administer payroll using Paylocity, maintaining compliance with company policies and all applicable labor laws.
  • Ensure proper tax withholdings, benefits deductions, and wage adjustments in accordance with state and federal regulations.
  • Maintain accurate payroll records, including earnings, deductions, and time-off balances.
  • Address and resolve payroll-related inquiries from employees in a timely and professional manner.
  • Collaborate with HR to ensure correct employee classifications, salary changes, and benefits coordination.
  • Generate payroll reports and assist with audits and financial reconciliation related to payroll.
  • Generate and review time tracking reports for teams and management.
Compliance & Risk Management
  • Ensure compliance with tax regulations, assisting in tax preparation and filings as needed.
  • Assist in financial risk assessment and mitigation strategies, providing data-driven recommendations.
  • Maintain accurate financial records and documentation to support audits and financial reporting requirements.

QUALIFICATIONS:

  • 4+ years of experience in similar role with accrual accounting, payroll, and cash flow management responsibilities and oversight of AP/AR function. 
  • Experience with QuickBooks Online and similar accounting software packages.
  • Experience with Excel and / or Google Sheets.
  • Excellent organizational skills and the ability to manage multiple deadlines effectively.
  • Strong attention to detail and commitment to accuracy in financial reporting.
  • Effective communication and collaboration skills, with the ability to work cross-functionally.
  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field preferred.
  • Involvement in selection and implementation of new accounting software package is a plus. 
  • Experience in the marketing, PR, and/ or creative industries is desired. 

WORKING CONDITIONS & PHYSICAL DEMANDS:

  • Physical Demands: Sitting 85% of the time, standing 15% of the time.
  • Working Hours: Typically, work hours are from 9:00 AM CST to 6:00 PM CST, Mondays through Fridays. Availability to work as needed on nights and weekends may be required. Employees maintain a hybrid schedule.
  • Physical Ability: Capable of lifting 20-50 lbs. as necessary.
  • Manual Dexterity: Regular use of hands and fingers for computer use.
  • Sensory Function: Everyday use of vision and auditory senses, including exposure to blue light from computers.
  • Environment: Work primarily indoors in an environmentally controlled setting. However, occasional travel and the ability to work in-office and on-site for client related meetings and events may be necessary.
  • Communication: Daily communication with peers, media, and clients is essential to the role.
  • Cognitive Demands: Ability to maintain cognitive thinking and logical reasoning throughout tasks and responsibilities.
